Our Murrysville-based firm is growing quickly, and we are looking for a high-energy, detail-oriented Administrative Assistant/Receptionist to join our team. With over 130 years of combined legal experience across Westmoreland and surrounding counties, we pride ourselves on being the trusted voice for families and businesses.
We need a professional who can juggle a busy multi-line phone system one minute and assist an attorney with sensitive estate documents the next — all while maintaining a calm, welcoming presence for our clients.
The Role
This is a full-time, in-person position where you will act as the central hub of our office operations. You aren't just "answering phones" — you are managing the client experience from the moment they walk through the door until their legal matter is successfully closed.
Key Responsibilities
- Client Coordination: Act as the primary point of contact — greeting visitors, managing multi-line phones, and coordinating complex calendars.
- Legal Support: Attend client meetings to take detailed notes and collaborate with attorneys to ensure all action items are captured.
- Document Management: Prepare petitions, legal forms, and general correspondence with a high degree of accuracy.
- Execution & Follow-Up: Assist in formal document execution meetings and proactively manage post-meeting tasks to keep files moving forward.
- Office Flow: Maintain an organized, professional environment and handle administrative duties as required to support our growth.
Qualifications
- Experience: 2–4 years of experience in a legal office setting (experience in Real Estate, Business, or Estate Law is a significant plus).
- Tech-Savvy: High proficiency in Microsoft Office 365 and the ability to learn legal-specific software quickly.
- The "Soft Skills": A friendly, empathetic demeanor with "five-star" customer service instincts.
- Reliability: A self-starter who thrives under pressure and takes pride in meticulous organization.
- Local: Must be able to commute reliably to our Murrysville office (15668).
